Third Party Logistics (3PL) Warehouse Supervisor

The purpose of this role is to ensure that customer orders received from the various customer service centers globally are handled in a timely manner ensuring that internal and external demands are met in line with our key performance indicators. This role will also manage and audit the service provider’s receipt, storage, picking/packing, cylinder tracking, last mile delivery and receipt of proof of deliveries in the port.



This position reports to the Operations Manager.


Formal authorities

  • Process all customer orders for delivery in agreed ports

  • Place internal purchase orders to fulfil customer order demand as well as purchase orders to subcontractors and suppliers

  • Is responsible for ensuring service provider’s compliance to standard operating procedures

  • Responsible for approving invoices related to site orders/deliveries

  • Overview of vendors to meet WSS requirements


    Main Responsibilities

    Essential Functions

  • Ensure continuous communication ref. the availability and lead times of products with Customer Service, transport, warehouse, expediting and procurement department

  • makes recommendations for selecting, orienting, training, assigning, coaching, counseling, and disciplining warehouse personnel

  • Continuous follow up on quotes and orders with sub-status ‘Awaiting approval’

  • Process orders including non-available items:

    • Order non-available items

    • Prepare purchase orders for local suppliers

    • Maintain ETA dates for incoming PO’s

    • Receive PO’s supporting an order

  • Process shipments

  • Add relevant charges if applicable

    • Print pick lists for warehouse if required

    • Report picking if required

    • Scan Delivery Notes

    • Create invoice for closed orders

  • Supply Customer Service with necessary information concerning delivery status of orders i.e charges, delays, availability etc.

  • Maintain transactional accuracy for customer orders and purchase orders

  • Train and ensure service providers compliance to WSS agreed operational activities

  • Ensure service providers accurate and timely processing of cylinder tracking

  • Ensure timely receipt of signed and stamped delivery notes

  • Ensure safe and secure storage and handling at service provider of all goods and equipment in accordance with the company’s policies and procedures.

  • Provide complete and updated information to service provider concerning time and place of delivery

  • Return signed delivery documents to the invoicing department on agreed schedule

  • Report problems and follow up through improvement notice routine

  • Follow up on IP’s and take corrective and preventive actions as required

  • Management of daily operations of operations in cross dock sites

  • Ensure 3PL and warehouse personnel  adhere to WSS safety policies and procedures



  • Meets or exceeds established KPIs for timely responses and communications with other business units

  • Accuracy of quotations, lead times and timely and efficient delivery of goods

  • Service Providers adherence to WSS SOP and Agreement



    Mandatory requirements

  • High School diploma or equivalent

  • Experience using IFS8

  • Ability to travel when required

  • Minimum of 3 years of experience in similar position

  • Good command of the English language (spoken and written)

  • Ability to communicate effectively within a multinational environment

  • Good knowledge of logistics and transportation management

  • Ability to manage and motivate own and externally employed personnel

  • Ability to co-operate across organization lines internally and towards customers

  • Systematic and accurate nature
